How do I perform a stock take?

Log onto Horizon, then select 'Stock' from the side bar and then select 'Stock Take' from the options. The following screen should come up on horizon.

Select 'New Stocktake'
You are able to add as many stock takes that you require, as you can scroll through them on the 'Active Stocktakes' section after creating them.

After clicking new stocktake youu are able to change the date and enter a reference that you can use to identify the stock take, for example, "November stockcheck", once entering these details you are required to click on the tick box to save the information.

Now enter your Search Details (These will effect the products returned for the stocktake):

Select which Branch of the company you wish to use, if there's only one branch then there isn't any need to change.
By entering a Bin ID, it will bring up all items of stock that has the identical Bin ID entered on the stock card.
By entering a Code, it will bring up the stock item details for that specific code.

You are then able to select from the following tick options:

  • In Stock - Shows all products that are in stock.
  • Negative Stock - Shows all products that are in negative stock.
  • Stocked - Shows all products marked as 'Stocked'.
  • Bin Assigned - Shows all products with a bin assigned.
  • No Bin - Shows all products with no bin assigned.
  • All Dates - Selecting a specific date, it will show the stock take done on that date.
  • Frequency - Selecting a specific frequency, it will show all products that have that frequency set on their stock card.
  • All Suppliers - Selecting a specific supplier will only show items for that supplier.
  • All Sectors - Ticking specific sectors only will return items that have been set up within that sector.

From the items that have been returned by the search, you can simply select them by clicking on the item and then clicking on 'Add to Stocktake'.
If you want to add multiple items, hold down the 'Ctrl' button on your keyboard and click on the items that you want to add and then click on the 'Add to stocktake'.
Otherwise if you require to add all items to the stocktake just click on 'Select All' and then 'Add to Stocktake'.

When you-ve selected all the items that you require in the stock take click on the 'Enter Results' Tab.

You are now able to edit the 'Counted' column, In here you add the amount of stock that you have counted. if you wish you can click the 'Print' button and this will produce a list that can be printed to make it easier to count items as you are performing the check.

Once you have completed your stock take click the 'Adjust Stock' button at the top of the window. This will then process the stocktake.
To look at the history of the stocktaking select the 'History' tab.

In order to cancel a stock take click that has been created click the 'Clear Stocktake' button at the top of the window.

NOTE: During a stock take all stock is locked so no orders will be available for processing.
